Where your business notes go missing, and how to stop it

6 मिनट पढ़ें

We counted lost-notes complaints in thousands of one- and two-star reviews of the biggest notes apps. Why notes vanish, and three habits that stop it.

Picture an office manager the week a phone gets replaced. The old one held a supplier's account number, next week's roster and a list of customers to ring back, all in a notes app. The new phone opens with an empty list. Nobody did anything wrong. The notes lived in one place, and that place changed.

Small businesses run on notes more than they admit: job details, quotes, a customer's gate code, what a supplier promised on the phone. This post is about how those notes disappear and the few habits that stop it. We make a notes app, Notaito, so read this knowing that. Nothing below needs it.

What people complain about

In October 2026 we read what unhappy people write about the biggest notes apps. We collected 9,840 one- and two-star reviews from the Apple and Google Play stores for eleven of them: Google Keep, Samsung Notes, OneNote, Evernote, ColorNote, Notion, Goodnotes, Notability, Obsidian, Simplenote and Bear. They are the newest reviews each store would show us, so mostly from the last year. This counts what unhappy reviewers wrote. It is not a count of how often an app loses notes.

We searched the reviews for a fixed list of phrases. About 1 in 28 (3.6%) describes lost, deleted or missing notes or data. We read 40 of the matches to check, and 32 were really about lost notes, so the true share is nearer 3%. That is smaller than the two big themes: subscriptions, prices and paywalls (19% of reviews mention them) and signing in, syncing and accounts (16.5%). But these are the stories that hurt. One reviewer said a new account requirement locked them out of seven years of notes. Another said an update wiped a year of daily notes.

Share of reviews that mention each theme, found with fixed phrase lists, so one review can count in more than one row. For lost notes, 32 of 40 matches we read were genuine.

The problem is not spread evenly. Notability's reviews had the most, 10.2% (about 1 in 10), and make up more than a third of all the lost-notes reviews we found. Simplenote had 6.1%, Bear 5.5% and Google Keep 1.3%. Among the lost-notes reviews, a quarter mention an update and almost a third mention syncing, signing in, an account or a new device, against 18% of all reviews for each. Notes tend to vanish when something around them changes.

Four ways a note disappears

  • It was deleted, and the bin has a time limit. Apple Notes keeps a deleted note in Recently Deleted for 30 days. Google Keep keeps it for 7. Evernote has a Trash, but its help pages do not say how long. After that the note is gone from every device. We checked each app's own help pages; the details are in our guide, notes disappeared.
  • An older copy won. Two devices edit the same note and the app keeps the wrong one. The note is there, but a day of changes is not. If a note looks out of date, open it on another device before you touch it, because editing the old copy can overwrite the new one.
  • The account or the device changed. A new phone, a reinstall, a sign-out, an account you cannot get into. Notes that live only on the device, or behind a login you have lost, go with it.
  • A change you cannot take back. A paste in the wrong place, a bulk delete, an edit you regret an hour later. A bin does not help here. Only an app that keeps earlier versions of a note does, and they differ: Apple's Notes guides describe none, Google Keep lets you download a text file of past versions on the web, and Evernote's note history works on its desktop apps and the web but not on its phone apps (which notes apps keep earlier versions).

From each app's own help pages, read in October 2026. Evernote's page does not say how long. On Evernote's free plan, notes in the trash still count toward the 50-note limit.

Three habits that cost nothing

  1. Know your bin deadline. Look up how long your app keeps deleted notes and put that number somewhere you will see it. Seven days is a very short time over a holiday.
  2. Use an app that keeps earlier versions, and find them once. Open the history of a note you do not mind losing, so you know where it is on the day you need it.
  3. Export on the first of the month. Most apps can export all your notes. Save the file somewhere that is not the same account, and open it once to check it is readable. A backup you have never opened is a hope.

What not to keep only in a notes app

Passwords belong in a password manager. Quotes, invoices and receipts belong in your accounting software. Some of these you are required to keep: the Australian Taxation Office's general rule is five years for most business records, and electronic records follow the same rules as paper ones, including being stored so they cannot be changed or damaged (ATO, record-keeping rules for business). A quote that exists only as a note in an app you can no longer open is a record you have lost.

Customer details are different again. If your business is covered by the Privacy Act, you also have to look after the personal information you hold. Our earlier post on what an AI receptionist can and can't do explains who is covered.

What to do this week

  1. List the notes apps your staff actually use. Ask them; it is rarely only one.
  2. For each, write down the bin time limit and whether it keeps earlier versions.
  3. Move anything you must keep for tax into your accounting software.
  4. Export every notes app once, and open the file.
  5. Put a monthly reminder in your calendar to do it again.
